We’re looking for a highly organised, proactive Office Coordinator & Personal Assistant to join our team at our London HQ.

This is a dynamic, fast-paced role where no two days are the same. You’ll provide trusted support to senior executives while playing a key role in keeping our London office running seamlessly. From coordinating executive schedules to supporting events and ensuring a welcoming, well-run workplace, you’ll be at the heart of daily operations.

What you’ll be doing

Office Coordination

  • Help keep our London HQ running at its best, working closely with building management on facilities, maintenance, and compliance.
  • Coordinate executive meetings, C-Suite visits, team events, and engagement initiatives that bring the office to life.
  • Support health & safety processes, inductions, and office communications, helping create a safe, organised, and connected workplace.
  • Step in to support reception when needed, providing a warm, professional welcome for visitors and ensuring meeting spaces run smoothly.

 

Executive Support

  • Deliver high-quality PA support to three senior Executives, expertly managing diaries, coordinating meetings, and organising national and international travel.
  • Create polished presentations and meeting materials, capture key actions, and keep priorities moving through proactive follow-ups.
  • Act as a trusted point of contact for stakeholders across the business, ensuring requests and queries are handled quickly, professionally, and with discretion.

You’re someone who loves being the person who makes things happen. Highly organised and proactive, you’re comfortable juggling priorities, supporting senior stakeholders, and keeping things running smoothly behind the scenes. You’ll bring:

 

  • Exceptional organisational and problem-solving skills
  • Advanced Microsoft Office skills, including Excel
  • Excellent communication and relationship-building skills
  • A flexible, positive “can-do” mindset
