Role Purpose
This role will not only the personal assistant to market leader, but also fully support to manage sales admin work, office admin work, employee engagement activities and support EHS related work coordination.
What you will be doing in this role
- Coordinate and prioritize market leader’s schedule and maintain calendar appointments, arrange meetings and travel itineraries and coordinate related arrangements.
- Coordinate and arrange meetings, prepare agendas, consolidate PPTs, reserve and prepare facilities and record minutes of meetings.
- Support sales team travel request including flight and accommodation booking etc.
- Verify and coordinate sales related contract approval per approving metrics, track sales activities per request (e.g. FS customer visit data).
- Responsible for China office administration activities to meet or exceed pre-set service standard, to ensure such the overall smooth running of the office, as seat arrangement, office renovation, maintenance of furniture & fixtures, office consumable & stationery purchasing arrangement, vendor management etc.
- Responsible for office facility management, including but not limited to handling lease renewal and landlord related issues, office and furniture maintenance etc.
- Review workflow constantly and recommend process improvement to improve office efficiency whenever needed.
- Coordinate and actively support local employee activities.
- Under the guidance of local Sr. manager and APAC EH&S manager, support EH&S related topics in China office on day-to-day basis, including but not limited to participant quarterly EH&S meeting, coordinate fire-drill, etc.
- Support EH&S annual operation audit to ensure all local EH&S activities are comply with local and group requirement.
- Perform any other ad hoc assignment when required.
Essential Skills & Experience
- College degree or above;
- With relevant sales admin experience;
- Good command of spoken and written English and Mandarin;
- Efficient, well-organized, self-motivated, Independent, work well under pressure;
- Excellent communication & coordination skills;
- Strong proficiency in MS Word, Excel and PowerPoint.
Desirable Skills & Experience
- Experience working in a Matrix organization.
- With SAP using experience.
