Quotation Coordinator, Philippines

Role Purpose
Generate accurate and timely quotations according to quote guideline, coordinate on exceptional approvals, prepare open quote report and trigger follow-up actions to support sales activities in the market.
Responsibilities

Support on quotation entry into quotation system according to Quote and Pricing guidelines and SLA.

Verify the completeness and accuracy of quotations before submission, ensuring all necessary documents, attachments, and supporting materials are included.

Point of contact to sales force regarding on quotation-related inquiries

Coordinate on necessary internal review and approval according to quote approval guidelines

Support to work with cross functional (tech support team) on alternative article/SKU profile to perform quotation activities, i.e. BOM enquiry

Support update and upload into customer portal if applicable

Support and maintain customer information in system

Prepare reports and perform deep dive analysis based on pricing guideline/requirement

Maintain a systematic and organized database of all quotations, ensuring easy retrieval and reference for future use.

Follow up on Open quote and maintain the right status of the quotation in the system, i.e. Won, Lost, Open.

Prepare reports on quotation activity, including win/loss analysis, pricing trends, and customer feedback.

Support analysis to Sales Leaders to drive effective of Quote Review on regular basis .

Perform deep dive analysis on quote lost rate and co-lead with sales leader on continue improvement initiative

Continuously evaluate and streamline the quotation process, identifying opportunities for automation, standardization, and efficiency improvements.

Collaborate with cross-functional teams to implement process enhancements and best practices.

Act as backup to Sales Force performing on pre-quote process & backup amoung quotation teams.

Sort all incoming emails receive and re-direct to responsible recipients within RS.

Ensure that all customer portals are regularly checked and quotations are submitted on time

Comply with and implement all company policies and requirements including but not limited to Code of Conduct, Employee Handbook, EH&S, ESG, CI and etc.;
Essential Skills & Experience

Preferably 1 year of experience as Quote Coordinator, Telesales, Customer service or any Sales environment.

Good interpersonal skills “approachable, positive, motivated, go-getter attitude”

Able to work under pressure and adapt to change

Detail oriented and process driven.

Shows a desire to continuously learn and develop.

Strong team spirit with ability to work independently.

Knowledge of SAP and Microsoft Office.

Excellent communication and coordination skills.
