About the Role

Role Purpose

The Executive Support Service Manager will plan, coordinate, and direct administrative services to ensure the Executive Leadership Team (ELT) operates efficiently. This role involves supervising and supporting the Executive Assistant Team, managing projects such as meeting scheduling and coordination, and overseeing facilities management in collaboration with relevant teams. The Executive Support Service Manager will report directly to a designated Executive Team Leader and must consistently project a professional company image.

 

Responsibilities

  • Calendar Management: Act as the gatekeeper for the Executive Leadership Team’s calendar, managing schedules, travel (domestic and international), appointments, and conference calls. Prioritize requests based on importance and urgency.
  • Team Supervision: Oversee the Executive Assistant Team, assigning and delegating tasks, and providing necessary coaching.
  • Facilities Collaboration: Work with the Facilities Management Team on executing facilities maintenance and special event projects.
  • Event Planning: Directly oversee the planning and coordination of meetings, events, and conferences. This includes travel arrangements, agenda development, catering services, notetaking, and other support services. Signature events, such as the company’s annual holiday party, back to school events, quarterly business reviews, board meetings, etc., are some of these events.
  • Training: Train new team members or delegate training tasks to existing team members as needed.
  • Report Review: Review reports developed by the Executive Assistant team and prepare additional reports as required.
  • Issue Resolution: Assist the Executive Assistant team in prioritizing conflicting needs, resolving issues promptly, and monitoring projects to ensure successful completion while communicating deadlines.
  • Inventory Management: Manage office supply inventories and purchases in a cost-effective manner.
  • Project Support: Direct the Executive Assistant Team in supporting other executive leaders with project-based work as needed. The ability to synthesize power points, CEO and ELT messaging, etc.
  • Event Logistics: Lead or assist in planning, budgeting, logistical, and administrative duties for larger events such as RS Connect and Leadership meetings.
  • Additional Duties: Perform other duties as assigned.

 

Candidate Requirements

Essential Skills & Experience

Essential:

  • 5 or more years related experience as an Executive Assistant to C-suite level executives
  • 2 or more years of office management experience including knowledge of facilities management
  • Proficiency with Microsoft Office software, especially Outlook, Word, Power Point and Excel.
  • Strong communication skills with ability to represent the ELT members as needed.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. 
  • Strong writing skills.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Desirable:

  • 2 or more years of project management and software tools experience
  • 2 or more years of experience with travel management software
  • 2 or more years of experience with event planning
  • Basic Spanish proficiency
  • 5 or more years supervisory experience
