About the Role

Role Purpose

Responsible for providing support to top-level Directors. Manages calls, schedules, appointment coordination, documents, and file control. Organizes and coordinates travel for the executive team.

 

Key Responsibilities

  • Provide support to directors within the company.
  • Schedule and coordinate appointments related to the executive team.
  • Follow up on personal matters for the VP Latam.
  • Organize travel.
  • Manage directors’ calls, schedule and coordinate appointments, handle documents, and attend to company clients.
  • Responsible for secretarial work in the office, department, or company group.
  • Assist in preparing special reports or presentations.
  • Organize executive team travel (flights, expense verification, etc.) and coordinate airport logistics for group visits.
  • Answer phone calls and take notes of internal or external messages; assist other secretaries when necessary and handle more complex tasks.
  • Transcribe, type, format, and verify texts such as correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations using text editors, spreadsheets, and graphics.
  • Request and deliver corporate cards and business cards.
  • Guide, develop, and support less experienced secretaries.
  • Perform other administrative tasks such as preparing documents and presentations, selecting and responding to correspondence and calls, drafting letters and official documents, organizing and participating in meetings, taking notes, and distributing minutes.

 

Essential Skills & Experience

  • Experience: 2–5 years or more
  • Areas: Administration and Finance
  • Programs: Fundamentals of Accounting and Finance / Fundamentals of Administration / Accounting and Financial Software / Payroll and Social Benefits / Proficient in Microsoft Office Suite
